TABLE OF CONTENTS

1. Creating a Booking

To create a new booking, click the Create Booking button located on the left sidebar menu.

2. Booking Type

Choose the booking mode:

Now
For on-demand rides. The system will immediately attempt to dispatch the job to nearby online drivers.

Reservation
Schedule a trip for a future date and time.

You can also create bookings in the past if the trip was completed outside the system and you need to record it for reporting or operations.

3. Pickup & Drop-Off Points

  • You can enter one or multiple pickup and drop-off locations.

  • Multi-stop trips are supported.

4. Booker Information

The booker is the person paying for the service. There are two types:

Individual Booker

  • A regular consumer making a one-time booking.

Corporate Booker

  • A traveler linked to a corporate account.

  • May have corporate policies, special rates, and billing rules.

  • For corporate customers there may be additional fields you can enter

Book for Guest Option

  • Enabled → Passenger details can be added separately (ideal when booking for someone else).

  • Disabled → Passenger = Booker.

Passenger Information can include name, phone number, email

5. Dispatch Settings

Auto Dispatch

Automatically finds the nearest available drivers and sends job requests.

Assign

Force-assign the booking to a specific driver immediately.

Offer

Send an offer to a driver—he can Accept or Reject the job.

6. Company

If you have the Advanced Supplier Module, you can broadcast jobs to your affiliate or partner suppliers. Once selected, the job will instantly appear in their queue, allowing them to accept and manage the trip on your behalf.

7. Vehicle Selection

  • Choose the vehicle type requested by the customer (e.g., Standard, Business, Van, Luxury).

8. Pricing Plan

  • Based on the selected pickup and drop-off points, the system will automatically determine whether to apply regular pricing or a flat rate. You can also manually switch the service type to disposal or hourly if needed.

9. Flight Information

Add the relevant flight number and details for the booking. If your company is subscribed to our flight tracking services, the system will automatically validate whether the flight is active for the selected date and time.

Once a valid flight is detected, the system will:

  • Track the flight in real time
  • Automatically update the pickup time based on the estimated arrival time
  • Adjust the booking if the flight is delayed or arriving early

You can also define how long after the flight arrival the pickup should occur. For example:

  • Pickup when the flight lands
  • Pickup 45 minutes after arrival

This is especially useful if the passenger prefers extra time after landing—for shopping, luggage handling, or meeting travel companions.

10. Seats, Luggages and Add-ons

You can enter the number of passengers and luggage needed for the trip. You can also add optional services to charge your customers, such as meet & greet, child or booster seats, or pet-friendly service.

11. Tips & Promotion Codes

  • Add a tip amount.

  • Apply a promo code to apply any available discounts.

(Click here to learn more about setting up promotion codes.)

12. Supported Payment Methods

  • Cash

  • Direct Invoicing

  • Credit Card

  • You can also send a secure Stripe Payment Link to the customer after the booking is created, allowing them to complete the payment online.

13. Driver Notes

  • Notes visible only to the driver.

  • Common use cases: special instructions, pickup signs, luggage details.

14. Map View

  • View the pickup and drop-off points on the map.

  • Helps visualize the route before confirming the booking.

  • Pro-tip: You can also drag the markers on the map to change address!

15. Booking Activity

This section contains the activity log for the booking.

You can:

  • Add notes with visibility control → Operator only, Driver, or Customer.

  • Upload files such as:

    • Itinerary

    • Tickets

    • Important customer documents

  • Track incidents and operator actions for customer service history.

  • Review all updates made to the booking in chronological order.

16. Internal Notes

  • Notes visible only to dispatchers or operators.

  • Useful for internal operations, follow-up reminders, or special handling instructions.

  • This field is fully searchable within the booking cue, making it ideal for storing any custom tags, reference numbers, or internal notes you may need to quickly locate later.

17. Editing Rates

The trip estimate card gives you a clear, instant overview of the estimated distance, duration, customer fare, and the payout to your driver or provider.

  • Tap View Rates to open your rate settings if you need to adjust future pricing.
  • You can fully customize the fare charged to the customer, as well as the payout amount for your driver or provider.
  • Default payout means the system will automatically use the payout rate you have configured for each driver, or fall back to your global default payout settings.
